Basic guidelines for online classes -In-class activities

Here are tips on using Zoom in classes.
(1)Conducting classes with Zoom
At the beginning of the class time, the instructor will access the specified URL to start a Zoom meeting.
Below is a brief summary of how to use Zoom in classes. (An instructional video is also available on “1-minute Zoom Instruction” page*.) *this page will be available soon.
(1-1)How to use Zoom in classes (Basic features)
Lectures and communication are carried out using camera images, screen sharing, chat, and other features.

Using the screen sharing feature
You may share lesson materials such as PowerPoint slides and PDF files on the screen.
Select the app you want to share on the screen, or you may share your desktop (what you see on your screen) itself.

For screen sharing, you may change detailed settings at "Share Screen" → "Advanced sharing options". Participants (students) will not be able to share their screens if "Host only" is selected. You may want to use this setting to prevent accidental screen sharing by students.

Communication using the chat feature
You can exchange text messages.
Chat contents are automatically saved as a text file after the meeting (class). It's a good idea to keep the chat window available and visible by clicking "Chat" at the bottom of the screen.
Use detailed settings on chat at the bottom right for your convenience.
Students can exchange private messages among themselves. But if you choose "Everyone publicly" on your setting, they can only send messages publicly. Turning on this setting will prevent unnecessary private interactions.

Managing the behavior of participants (students)
Under "Manage participants", you can modify detailed settings.
Depending on the number of students and the nature of the course, you may want to “mute” students when giving instructions.
Choose “Mute all” when you want to mute all students as they join.
If you uncheck “Allow participants to unmute themselves,” students will be unable to unmute themselves.
If you "Lock meeting", students will not be able to enter the room after a designated start time (latecomers will not be admitted).

(1-2)How to use Zoom in classes (Advanced features)
You can make your classes even more “interactive” with other Zoom features.

Breakout sessions
Voting
Raise hand
Commenting and drawing through screen sharing
Using the "Record" feature, you can record a meeting (class) and save it as a video file. (More information will be available soon.)
(2)Taking attendance (if necessary)
There are various ways to take attendance. Use a method that is convenient and reliable, depending on the situation.
Since we do not give any "attendance point" that would count toward final evaluation, it is not absolutely necessary to take attendance. Nonetheless, it is a good idea to check the real-time participation of students during Zoom classes in some way in order to keep track of students’ engagement.
Pattern 1 << Recommended >> Using kibaco’s features
Check attendance using kibaco’s "Tests/Quixxes" or "Assignment" features.
Submissions are recorded with student ID and the date and time of submission, serving as a reliable source of attendance data.
In addition to taking attendance, minutes papers (for students to write questions and comments) are helpful in getting ideas for improving students’ learning experience.
Pattern 2 Taking attendance on Zoom
Use Zoom’s features to take attendance. There are several ways to do it.
(1)Using the “Reports” feature (data expires in one month)
When class (Zoom meeting) is over, go to the Zoom website’s "Reports" section (within one month) to review meeting statistics and attendee reports.
If you search by the start and end date (class date), you can review attendees, join time, leave time, duration, etc.
Students should use their real names (or names recognizable by the instructor) on Zoom so the instructor can identify them and record their attendance accordingly.
(2)Using the chat feature
Ask students to write their names (or names the instructor can identify) in chat to confirm attendance.
When you have students write their names, choose the option for "Allow attendees to chat with host only". With this setting, other participants cannot see the post.

(3)Using audio/video
Ask students to turn on their microphone and camera and identify themselves by taking certain actions to confirm attendance.
(3)What to do if something goes wrong
Troubles are bound to happen in Zoom classes due to various reasons such as not being familiar with the technology, bad Internet connection, etc.
Troubles are especially likely to occur at the beginning, so it is important to keep in mind how to deal with potential troubles in advance.
Here are ways of dealing with some of the potential troubles.
(3-1)Students missing (part of) class due to communication problems, etc.
Make it a rule for students who missed (part of) class to e-mail the instructor and report the problem.
Make an announcement of the rule in the first class meeting and on kibaco.
Please upload class material to kibaco in advance (or immediately after class) so that those students who missed class can study independently.
(3-2)What if the instructor loses connection?
Zoom meetings run on the cloud (on the Internet), so even if the instructor (host) is disconnected, the meeting is not ended. You can resume your class simply by reentering the meeting.
(3-3)What if there is an intruder?
Should an uninvited intruder appear in class, use Zoom’s “Manage participants” feature to display the participant list, locate the intruder, and select "Details" -> "Delete". The deleted participant cannot join again.
